Accessing the Portal

Customers access the portal through the unique tracking link automatically sent when a ticket is created on their behalf.

Ticket created by agent
When your team creates a support ticket for a customer, the system automatically sends an SMS and/or email to the customer's registered contact.

Customer receives tracking link
The message contains a unique URL like: yourdomain.com/tracking/TK-00123. This link is specific to their ticket.

Customer opens the link
No login or account required. The page loads instantly showing their ticket details.

Bookmarkable URL
Customers can bookmark the URL to return and check their status at any time.

Tracking Tickets

The ticket tracking page gives customers real-time visibility into their service request โ€” without needing to call your office.

Ticket status display
The top of the tracking page shows the current status in a clear, visual badge: Pending โ†’ In Progress โ†’ Resolved โ†’ Closed.

Progress timeline
A step-by-step progress indicator shows all stages the ticket has gone through with timestamps.

Customer-visible notes
Any notes your agents marked as 'Customer Reply' appear on the tracking page as updates from your team.

Assigned technician
The name (and optionally photo) of the assigned technician is shown so the customer knows who is handling their case.

Device/item details
The tracking page shows the customer's device or product details, intake photos, and the reported problem description.

Estimated completion
If your agent sets an estimated completion date, it's displayed on the tracking page.

NoteBy default, internal agent notes are NOT visible to customers. Only notes marked as "Customer Reply" appear on the tracking page.

Viewing Invoices

Customers with a registered account can log into the Client Portal to view and download their invoices.

Customer receives invoice notification
When you generate an invoice, the customer receives an email with a link to view it online.

Customer clicks the invoice link
The link opens a read-only, professional HTML view of the invoice โ€” no login required for viewing.

Download as PDF
The customer can download a PDF copy of the invoice from the portal for their own records.

Outstanding balance display
If the customer has a portal account, they can log in to see all their invoices and any outstanding balance at a glance.

Online payment (if enabled)
If online payment is configured by your administrator, customers can pay outstanding invoices directly from the portal.
